July-October 2009 IT Project Portfolio Process

The IT Project Portfolio Priortization Advisory Committee conducted a review of the projects that were already submitted to Technology and Communications prior to the establishment of this new process.

  • The list is a summary of the tickets in the Large Projects category within the Tech Help system (KSS) as of September 1, 2009. For the most up-to-date information on each ticket, log into the Tech Help system here.

IT Project Portfolio Evaluation Process

Technology and Communications has embarked on a new process for determining the priority of large projects. Why? What has been the problem?

  • Ad hoc project requests lack proper authorization, sponsorship, resource commitments, and funding
  • "First come, first served" mindset
  • Staff spread thin among many competing projects
  • Unsure whether we are focused on the "right" project that meets University goals and objectives
  • "Everything is a Priority" results in not delivering all requested projects/timeframe

As a result, the IT Project Portfolio Prioritization Committee was formed to provide the following:

  • Build consensus on top Technology Projects through an evaluation process
  • Improve alignment with University goals and objectives
  • Add transparency to the prioritization of IT projects
  • Increate collaboration across the University
  • Improve balance of work for IT staff

In addition to Large Projects, analysts are also assigned to support requests, small projects, and day to day operations. More information is found in the presentation.

The process for prioritizing projects is displayed by clicking HERE. Note that the first set of projects evaluated by the committee were those previously submitted through the "old" ad-hoc approach. Once current projects have been addressed, new project proposals can be accepted for review using this process, typically on a quarterly basis.
